Privacy policy

WVFRM Pty Ltd ("WVFRM", "we", "us" or "our") is a video production studio based in Fitzroy, Melbourne. This policy explains what personal information we collect, how we use and protect it, and the choices you have. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

It applies to anyone who visits wvfrm.com.au, sends us an enquiry, books a call, works with us as a client, supplier or crew member, or appears in a video we produce.

What we collect

We only collect what we need to respond to you and deliver our work. Depending on how you deal with us, this may include:

  • Enquiries and quotes: your name, email, phone number, company, project goals, video type, timeline, how you heard about us, your brief and any files you upload.
  • Call bookings: your name, email and the time you choose when you book a call with us.
  • Clients and suppliers: contact details, billing details and the project information needed to plan, deliver and invoice the work.
  • People on camera: your image, voice, name, job title and anything you share during an interview or shoot, along with a signed release form.
  • Crew and job applicants: your contact details, portfolio, availability and rates.
  • Website use: your IP address, device and browser type, pages viewed, links clicked and how you reached our site.

We don't ask for sensitive information such as health details. If a story involves it, for example a healthcare video, we only record it with the consent of the person involved and our client.

How we collect it

  • Directly from you, through our website forms, by email, by phone, on video calls and on set.
  • From your organisation, when a client gives us the details of staff or customers who will appear in a video.
  • Automatically, through cookies and similar tools when you use our website (see below).

How we use it

  • To respond to your enquiry and prepare a quote or proposal.
  • To plan, film, edit and deliver your project, including scheduling shoots and sharing review links.
  • To manage our relationship with clients, suppliers and crew, including invoicing and payments.
  • To understand how our website is used, fix problems and improve it.
  • To measure and improve our advertising.
  • To send you occasional updates about our work, only where you have agreed or would reasonably expect it. You can unsubscribe at any time.
  • To meet our legal, tax and insurance obligations.

We don't sell your personal information.

Filming and footage

If you appear in a video we produce, we ask you to sign a release form explaining how the footage will be used. Footage is delivered to our client, and how they use it is governed by their agreement with you and their own privacy policy.

We keep project files and footage in secure storage after delivery so we can support future edits. We only show a project in our portfolio, showreel or case studies with our client's permission. If you would like to discuss footage you appear in, contact us and we will work with our client to help.

Cookies, analytics and advertising

Our website uses cookies and similar technologies to work properly, understand how visitors use it and measure our advertising. These include:

  • Google Analytics and Google Tag Manager, to measure visits and how pages are used.
  • Google Ads, to measure the results of our ads and show relevant ads on other sites.
  • HubSpot, to receive and manage form enquiries and understand which pages lead to them.
  • Microsoft Clarity, to see how visitors scroll and click so we can improve the site. It does not record what you type into forms.

You can block or delete cookies in your browser settings, though some parts of the site may not work as expected. You can also opt out of personalised Google ads at Google Ads Settings and learn more about online advertising choices at Your Online Choices.

Who we share it with

We share personal information only where needed to run our business and deliver your project:

  • Service providers who host our website and forms, run our CRM, email, call scheduling, video review and delivery, cloud storage and accounting.
  • Freelance crew and editors working on your project, who are bound to keep it confidential.
  • Our client, when you appear in or contribute to a video we produce for them.
  • Professional advisers, insurers and authorities, where required or permitted by law.

Storing information overseas

Some of our service providers store data outside Australia, including in the United States. We choose reputable providers and take reasonable steps to make sure they protect your information in a way that is consistent with the Australian Privacy Principles.

Keeping it secure

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, including secure cloud storage, access limited to people who need it, and two-factor authentication on our key accounts.

We keep personal information only for as long as we need it for the purposes above or as required by law, then securely delete or de-identify it. If a data breach is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required.

Accessing and correcting your information

You can ask to see the personal information we hold about you, or ask us to correct or delete it. Email us and we will respond within 30 days. We may need to confirm your identity first, and in limited cases the law allows us to decline a request. If so, we will explain why.

Questions and complaints

If you have a concern about how we have handled your personal information, please contact us first so we can try to resolve it. We will respond within 30 days.

If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner on 1300 363 992.
